Unofficial Minutes - March 5, 2006

We are church that seeks to live God’s Word and to share Christ’s love with all people 

The Ministry Coordinating Council met on March 5th with the following attendees: Marvin Winters, D.A. Bennett, Jay Henderson, Cyndi Tillery, Gail Rose, Amy Rothrock, Rob Biggins, and Rick McElroy. Marvin opened w/prayer.

Marvin brought for approval these items: Mary Lou Harkins wanted to book a Neuropathy Support Group for each 2nd Saturday of the month for balance of the year. Permission was granted. Group from Marshfield, Mo. wants permission to stay overnight March 17, 18th for a group of 30-40 youth & adults. They have used facilities before and permission was granted. Natl. Assoc. of Retired Federal Employees asked for July 5th and December 6th meetings at WRUMC from 10 am - 6 pm. Permission was granted. Gloria DeKamp asked for use of facilities for meeting/dinner and was denied.

Rob Biggins and Cyndi Tillery asked for approval for the date of May 13th for Festival. This would be similar to what has been done at Meadowbrook, i.e., hot dogs, games, clowns, etc. This addresses the desires to meet the needs of the neighborhood, 4 mile quadrant outreach. The Festival would be from 11 am - 1 pm. Angel Food Ministry was also discussed. Dates and times of arrival of food will not be determined until approval is obtained. There was much discussion about the use of facilities by, Heart Like His Ministry, Angel Food Ministry, Festivals, etc. Also, Rob suggested having a Bridal Show next year and a Tent Revival in 2007.
This would require much time and effort and there was concern about the Tent Revival being relevant for this generation.

Some of the concerns were: What are we doing to meet the needs of the neighborhood (now, future). What are we doing to prepare the congregation, it will take all members of the church to participate, D.A.'s sermons are key to response of congregation, Discipleship Committee is doing their part to move all this in the right direction as well as other committees who have same concerns for mission to neighborhood. Several things are already in place to help this effort: Teas, Children's activities, Egg Hunt, Youth activities, Trunk in October.
Bridal Show will be discussed at a later date. Tent Revival does not have definite date.

D.A. brought up the concern of congregation - Function of committees, specifically, Does Mission to Tulsa and Mission to World need oversight of Mission Chair. He feels that if the committees have worked out to their satisfaction how their committee works well, then he is satisfied to leave it like that and eliminate the Chair.

Next meeting is scheduled for May 11th.

Mission to the World Minutes
Unofficial Minutes - April 25th, 2006

Attendance: Cydni Tillery, Pat & Doc Harbaugh, Gail Rose, Garland Pelzel, Richard Smith, Robin Hardwick, Ann & E.L. Simpson

Meeting was begun at 7:08 pm with prayer by Garland.

Minutes of the previous meeting were approved.

Evaluation of the VIM Mexico trip: all went well, glowing evaluations were presented to the committee. One concern is the rising cost of fuel and costs of the trip in general. After discussion, it was voted to raise the price of next year’s trip to $200.00 per participant. Also, commitments of participants will need to be finalized by the end of 2006, as they must have a passport IN HAND by December 31, 2006.

New Business: Other mission opportunities were discussed. The committee tentatively planned for a trip over the summer to the Boys’ Ranch in Gore and a trip to Mosspoint, Mississippi in the fall. Gail Rose is to call the Boys’ Ranch for dates and more info, and Ann Simpson is to call her contact in Mosspoint for dates. We will meet again on 5-15-06 at 7 pm to discuss what was found out on these queries. Meeting was closed with prayer.

Mission to Tulsa Meeting Minutes
Unofficial Minutes - April 24th, 2006

Attendance: Sonny Rose, Joan Forrest, Marie Langley, Donna Shoop, Cydni Tillery

Meeting was begun with prayer by Cydni. Donna led a devotional stating that we can do it with God’s help! The minutes of the previous meeting were approved. Status reports on old business:

· Angel Food: we have been approved to be a host site, and training is set for May 16 here at the church. We are set to begin probably in June.

· Project Transformation: status is questionable. We are still wanting to take part, but we have not been contacted for helping yet. James, the site manager for St Mark’s is leaving, and we don’t know who will take over or what the status is right now. Cydni will do calling to find out what is going on.

· Street school outreach: on hold until after school is out to discuss outreach possibilities for next fall

· Local mission directory: We want to put together a “directory” of sorts that will include local ministries and those from our church who participate in them. We want to know who is involved in local missions, what sorts of work are done, etc, so that we may encourage members to get involved in local outreach. Cydni drafted a form for those involved in a ministry already to fill out. This form was approved by the committee and will be distributed over the next several weeks to gather this info.

· Committee structure: to remain the same for now.

New Business:

· To assist in collection of supplies for Restore Hope, it was decided to have the “Diaper Days of Summer”, where we will collect diapers and baby items from June 18 until July 16. Also, it was decided to begin collecting underwear and socks on the fifth Sundays of a month (affectionately known as “Undie Sunday”). The first Undie Sunday will be in July as well. · Mission projects are needed for the children for summer. The committee was asked to let Amelia know if they thought of anything the children could do for missions. The meeting was closed with prayer at 7:00 pm

Children’s Council Minutes

Unofficial Minutes - June 5, 2006


Those present were: April Duncan, Melanie Shiew, Renay Trolinger, Mindy Sutterfield, Amelia Antwiler, Vickie Harbaugh, Brenda Smith Opening Prayer offered by Amelia Antwiler

VBS – Update brought by Beth Humphrey
·Mostly staffed now.
·Need to get supplies for crafts and various needs
·Need Help with “Fiesta” dinner on Friday night of VBS. Dinner to start at 6PM. There will be Dinner, Program & Rob Biggins will have kid friendly DJ’ing – Hokey Pokey, Chicken Dance – FUN!
·Decorating will start on Saturday after Katie’s Shower & on Sunday after reception for Burris's

Summer Programming –
·Due to teacher shortage Kidz Kamp Jr. & both Creative Arts programs have been cancelled.
·“In the Kitchen, Jr.” will be moved to occur at the same time as “In the Kitchen, Sr.”
·Mindy Sutterfield has graciously agreed to make calls to let people know about cancellations.
·Dive-In Devotions will be moved to Terry & Lisa Davis’ pool. With Melanie Shiew & April Duncan sharing the responsibility of leading.
·Mission Possible – with Patrick Fincannon & Melanie Shiew is good to go. Patrick has so nicely agreed to coordinate bus drivers. A great big thank you to him!
·Brenda Smith has a new job! (PTL!!) While this is awesome news – it means she will be unable to be leader of KidzKamp, Sr. (2nd – 5th). She will assist Vickie Harbaugh with the organization – but they will need 1 more adult to be present for the activities. (Janet Hayter has agreed to help). They will take care of finding youth helpers.

Nursery Need –
·The “Big Toy” in the nursery is in need of recovering. Donna Graybill has asked if the council would approve of this. She has someone who has agreed to do the labor for free – and the Children’s Department would need to pay for the cost of the materials. The kids absolutely love this toy – so the council agreed unanimously that it should be taken care of – with the caution that the material needs to be sturdy enough for crawling – and teething tough.

Next Meeting –
·The next meeting was scheduled for July 10, 2006. But with summer activities in full swing – there really is not an urgent need to meet.
·It was laid out – that maybe instead of meeting we could all bring snacks and just meet and talk with Janey.
·The next big event for Children’s Council is the End of Summer Celebration in August. In preparation for that – we decided to ask members of the church to make home made ice cream. We will discuss what food item Children’s council will provide at the August Meeting. O’Brien Park is already reserved – so we’re good to go. See you in July!!

Unofficial Minutes - April 23, 2006

Attendance: Rob Biggins, Cydni Tillery, Russ Ronning, Melissa LaSalle, Betty Welch

 The meeting was opened with prayer by Rob at 12:25 pm. Minutes of the last meeting were read and approved. The family fun fair was discussed. A report was given on progress of getting a sign for advertising the fair.

Cydni called one sign maker and got quotes of a 3x8 sign for $150.00 double sided. We decided to approve the purchase of a reusable sign of this type for this and future festivals. Russ’s father’s company may be able to donate a large cooker to the church for these festivals. Cydni will complete a letter to his company to attempt to inspire the donation. Cydni agreed to purchase prizes and food for the fun fair. We will plan on 200 participants. Russ will donate hot dog buns. Rob or Betty would seek a kitchen manager for the day. Russ is in charge of coordinating wrestling. Rob is bringing music and will confirm with Richard Smith to have a fire truck there. Cydni and Betty will bring over their grills, and we may need one or two more people to bring small grills. We will need 5-10 workers to run the carnival games and 2 people to run the Jupiter Jump.

The purchase of a generator to run the music and Jupiter Jump was discussed. Home Depot has one for $700.00 with a $125 mail in gift card rebate right now. The committee approved the purchase of this generator with the funds from the wrestling fundraiser.

The next meeting was set for 5-7-06 at 12:15 to finish preparations for the fun fair. Meeting was closed with prayer by Cydni and adjourned at 1:15 pm.
